Replace Preview Image on Media files
Every file in the Files menu has a thumbnail preview displayed on the file card. When you upload a file, the system generates a thumbnail automatically based on the file's content.
With the Replace preview image feature, you can replace this auto-generated thumbnail with a custom image of your choice — making files easier to identify at a glance, especially when the default thumbnail is not descriptive enough.
This feature only affects the thumbnail shown in the management UI. It does not change the actual file or how it is displayed on devices.
When to use this feature
- Videos — the auto-generated thumbnail captured an unrepresentative frame
- PDFs and SVGs — the default preview may not clearly convey the file's purpose
- Audio, JSON, or font files — these file types do not produce a meaningful visual thumbnail by default
- You want to use a branded or descriptive image to make the file easier to identify in the File Manager
Replace the preview image
- Navigate to the Files menu.
- Locate the file whose thumbnail you want to replace.
- Right-click on the file card to open the context menu.
- Select Replace preview image.
- In the file picker, select a PNG image to use as the new thumbnail.
The file card will update to show your custom thumbnail.
Accepted format
Only PNG files are accepted as preview images.
Remove the custom preview image
To revert back to the auto-generated thumbnail:
- Right-click on the file card to open the context menu.
- Select Remove preview image.
The thumbnail will revert to the original auto-generated preview.
Good to know
- Minimum role required: Content Editor
- The custom preview is stored separately from the file itself — replacing or removing it will not modify the file in any way.
- This feature also exists for content items. See Replace Preview Image (Contents).
