Settings - Preferences
Here, you can configure settings that apply specifically at the customer level.
Team global settings
These settings can also be found in the top right corner of the Teams tab. Learn more: Settings - Teams
Resources not assigned to a team are available to everyone
- If this option is enabled, the user with team assignment will see ALL resources that have no team assignment available.
- If disabled, the user assigned to a team will NOT see the resources that have no team assignments available.
Users not in a team can access everything
- If this option is enabled, the user without team assignment will see ALL resources under the customer.
- If disabled, the user without a team assignment will NOT see the resources under the customer.
Allow users in teams to create devices and device folders in the root folder
- If this option is enabled, the users with team assignment can create folders and register devices in the root folder of the Devices menu under the customer.
- If disabled, the users with team assignment will NOT be able to create devices or folders in the root of the Devices menu, only to the folders with read/write permissions.
Allow users in teams to create contents, schedules, and groups in the root folder
- If this option is enabled, the users with team assignment can create folders and create contents in the root folder of the Contents menu under the customer.
- If disabled, the users with team assignment will NOT be able to create content, schedules, or groups in the root of the Contents menu, only to the folders with read/write permissions.
Allow users in teams to upload files and create file folders in the root folder
- If this option is enabled, the users with team assignment can create folders and upload files in the root folder of the Files menu under the customer.
- If disabled, the users with team assignment will NOT be able to upload files or create folders in the root of the Files menu, only to the folders with read/write permissions.
Force two-factor authentication
When enabled, all users under this customer will be required to set up two-factor authentication (2FA) before they can access the system.
- Users who have not yet configured 2FA will be prompted to complete the setup on their next login.
- This setting overrides any user-level 2FA preferences — individual users cannot opt out when this is enabled.

AI assistant access (MCP)
Introduced in version 2.1, Wallboard supports the Model Context Protocol (MCP), which lets external AI assistants (such as ChatGPT) connect to your Wallboard account and act on your behalf. Access is controlled at two levels: the customer (organization) level for the whole account, and the individual user level for each person.
Customer-level access
At the customer level you control:
- Whether AI assistants are allowed to connect through MCP for this customer at all.
- The default access new users receive when their account is created.
If MCP access is turned off at the customer level, no user under the customer can connect an AI assistant, regardless of their individual settings.
Per-user access
For each user you control whether that user may connect an AI assistant and which types of actions it is allowed to perform:

Read — the assistant can read data (devices, content, datasources, and so on).

Create — the assistant can create new items.

Update — the assistant can modify existing items.

Delete — the assistant can delete items. Off by default — it must be enabled deliberately.

Administrator users start with MCP access disabled and must enable it explicitly.

After you change a user's MCP permissions, the change can take up to 5 minutes to take effect.
User Interface Profiles - Customer-Level Permissions
With these settings, you can restrict UI elements customer wide (e.g., hide items that are otherwise shown in a preset).
- However, user-level permissions can override these restrictions.
- You can assign User interface profile settings to your customer by accessing the Preferences modal >> Other settings >> User interface profiles
